雲林雲嶺扶輪社為辦理社慶報名、聯繫、名額與餐飲安排、現場報到及活動後必要行政處理，蒐集您於本表提供的資料。不用於與活動無關的行銷。
The Rotary Club of Yunlin Yunling collects the submitted details for event registration, contact, places and catering, on-site check-in and necessary follow-up administration, not unrelated marketing.
蒐集項目與提供方式 / Data and choice
必填：姓名、Email、實際參加總人數。參加身分可選社友、來賓或社長親友；電話／LINE ID、所屬社／單位與職稱、偏好稱呼、參加者稱呼、飲食需求與備註皆選填。不提供必填資訊將無法完成線上報名與回執通知；不填選填資料不影響報名。請勿在飲食欄填寫病史等無關敏感資料；代填同行者時，請先取得對方同意並告知本說明。
Name, email and total attendees are required. Role may be Rotarian, guest or president’s family/friend. Phone/LINE ID, organization/title, preferred name, attendee names and dietary notes are optional. Missing required data prevents online registration and email confirmation; leaving optional details blank does not prevent registration. Do not provide unrelated medical details. Obtain consent and share this notice before entering another person’s information.
使用方式、地區與對象 / Use, regions and recipients
僅限授權主辦人員及受委託的系統、寄信服務供應商，在活動行政與通知所需範圍內，以網站、資料庫及電子郵件處理。系統使用 Cloudflare 全球網路及亞太資料庫、Resend 郵件服務，可能涉及境外處理與收件人所在地；資料不公開展示。身分及已核實、適用本次通知的關係摘要可用於暖心接待文字，不作為名額優先或權限依據；不提供私人對話、姓名、Email或無關敏感資料給一般文案模型。
Authorized organizers and contracted hosting/email providers process necessary information using the website, database and email. Cloudflare global infrastructure and Asia-Pacific databases, Resend and recipients’ locations may involve cross-border processing. Details are not publicly displayed. Declared roles and verified relevant relationship summaries may personalize greetings, never priority or access rights. Raw private conversations, names, email addresses and unrelated sensitive details are not sent to the general writing model.
保存與連結有效期 / Retention and private links
本次報名資料與私人管理連結自報名日起保存及有效180日，涵蓋社慶及後續行政處理。期限屆滿後停止一般查詢與利用，由主辦單位依清理程序移除；必要法定保存或爭議處理另依適用義務限制利用。期限不因一般修改而重新起算。
Registration details and management links remain available for 180 days from submission, covering the event and follow-up administration. Ordinary access and use stop on expiry; organizers remove records through their cleanup procedure, subject to applicable retention or dispute-handling obligations. Routine edits do not restart the period.
資料權利與聯絡窗口 / Your rights and contact
您可申請查詢、閱覽、製給複製本、補充或更正本人資料，或要求停止蒐集、處理、利用及刪除。請來信 yunling1131221@gmail.com 或致電05-5323701，提供報名編號以協助核對。取消參加與刪除資料為不同操作；收到刪除申請後由授權人員核實處理。
You may request access, inspection, copies, correction or supplementation, cessation of collection/processing/use, or deletion of your own data. Contact yunling1131221@gmail.com or +886 5 5323701 with your registration reference. Cancelling attendance does not itself delete the record; organizers verify and process deletion requests.
匯出、備份與管理 / Exports and backups
後台僅限授權人員登入使用，名單匯出與重要變更留有紀錄。已下載的名單與備份由主辦單位依相同目的及期限管理；系統不能遠端撤回他人已下載檔案。
Only authorized signed-in organizers access the roster; exports and important changes are logged. Downloaded files and backups remain subject to the same purpose and retention controls. The system cannot recall files already downloaded.
